Deposits - TDS Insured integration

Our TDS Insured integration allows details of a deposit to be sent directly to TDS without requiring users to manually enter this information through their TDS account.

1. Setting up the TDS integration

  1. Go to Lettings properties > Other balances > Deposit balances

  2. Click on TDS account

  3. Enter the TDS Branch ID number in the format of XXXX::YYY (Guidance on how to locate this ID can be found below)

  4. Click Authorise

  5. Users will then be redirected to the TDS login page

  6. Please enter the administrator username and password to authorise this integration setup

Once the set-up has been completed, a new TDS export column will appear on the Deposit balances page.

To locate your branch ID number:

  1. Login to your TDS account.

  2. Within the Branches associated with this Member section, click on View branch (highlighted below).

  3. The required BranchID number will be located under the Branch information section (shown below). Note, the ID number will be in the format of XXXX:YYY.

2. Submitting deposit details

2.1 Selecting the deposit paid date

  1. Go to Lettings properties > Other balances > Deposit balances

  2. Locate the deposit in question

  3. Within the Deposit received date column, click on Not set

  4. In the new pop, the dropdown will contain the 5 most recent Deposit IN bank lines for the property

  5. Please select the bank line related to this tenancy

  6. Click Submit

The Deposit paid in date column will now display the date of the selected bank line. The selected bank line can be changed at any point before submitting the deposit record by clicking on the date, amending the selected line and clicking on Submit.

2.2 Submitting the deposit record

To send deposit details to TDS:

  1. Go to Lettings properties > Other balances > Deposit balances

  2. Locate the deposit in question

  3. Within the TDS Insured export column, click on the grey cloud icon

  4. A preview box (shown below) will appear confirming the following details:

    1. the property address

    2. the deposit requirement (as set within the property record)

    3. the lead tenant's name and status

    4. the lead landlord's name and status

  5. Click on Submit this deposit record

The upload icon will turn green if the record has been sent successfully. If not, the icon will turn red/pink. For further information on this, please see section 5 below.

Note: If any key information is missing, a red error message will appear in the preview box, and users will be presented with a list of what is missing. Please populate this information where required and then try resending the deposit record as noted above.

Note: The preview box only lists details of the lead tenant; however, details of all relevant tenants will be sent to TDS.

Note: Once submitted, any further updates/amendments to the data needs to be actioned directly via the TDS portal.

3. Deposit certificate

Once the deposit record has been sent successfully, users can then log in to their TDS account and generate the deposit certificate document.

4. TDS export column

The TDS export column on the Deposit balances page is colour-coded as listed below for ease of reference:

  • Grey = No deposit record has been submitted

  • Green = Deposit record has been submitted successfully

  • Red = Deposit record has been submitted but further information is required (See section 5 for further information).

5. Red TDS icon

If the cloud icon has turned red after creating a deposit record, this indicates that TDS requires further information or has noticed a fault with the data provided.

To resolve:

  1. Howver over the red cloud icon

  2. The system will indicate what information needs to be supplied/corrected

  3. Navigate to the relevant record(s) and populate/amend the required information

  4. Once updated, navigate back to Lettings properties > Other balances > Deposit balances

  5. Click on the red icon against the relevant deposit

  6. Click on Resubmit

If the deposit has been submitted successfully, the cloud icon will turn green.
