Deposits - Exporting tenancy information for tenancy deposit scheme

SME Professional makes transferring tenancy data to a tenancy deposit scheme easy. We have import files compatible with Safe Deposit Scotland (SDS), Letting Protection Scotland (LPS), and Deposit Protection Service (DPS).

1. Update deposit account details

  1. Go to Lettings properties > Other balances > Deposit balances

  2. Select SDS/LPS/DPS account

  3. If LPS or DPS is your chosen scheme, please populate the LPS/DPS ID field

  4. To auto-populate your address, click on Load company data (this will copy the address currently set as your company address)

  5. Click Submit

2. Exporting deposit information

2.1 Selecting the deposit paid date

  1. Go to Lettings properties > Other balances > Deposit balances

  2. Locate the deposit in question

  3. Within the Deposit received date column, click on Not set

  4. In the new pop, the dropdown will contain the 5 most recent Deposit IN bank lines for the property

  5. Please select the bank line related to this tenancy

  6. Click Submit

The Deposit paid in date column will now display the date of the selected bank line. The selected bank line can be changed at any point before submitting the deposit record by clicking on the date, amending the selected line and clicking on Submit.

2.2 Generating deposit export

  1. Go to Lettings properties > Other balances > Deposit balances

  2. To create an export (that includes one or multiple properties), tick each relevant property within the Select column and then click on the relevant export option

  3. The export will then be downloaded to your computer

  4. Users can then login to their chosen deposit scheme portal and import the downloaded file

Users can sort this page by the Deposit balance column, or by the days since move-in to locate relevant properties. We also recommend ensuring that the Deposit balance does not exceed the Deposit requirement.

Note: For DPS, the length of the tenancy agreement is required in the export created. Where properties have been migrated, or a tenancy has not been created on SME Professional, users will need to manually add 6 or 12 months etc., into the export manually before uploading the file to the deposit scheme online portal.
