Arrears - Managing past tenant arrears

Note: The following help article should only be followed for systems that do not have the past and current tenant ledger tabs enabled. This feature allows users to manage past and current tenant arrears separately. For more information on the past and current tenant tabs, please click here.

For systems that are not using the past and current tenant tabs, there are two ways you can manage tenant arrears.

1. Not chasing arrears

  1. Navigate to Lettings properties > Property balances and click the figure under Tenant arrears for the relevant property

  2. Click Change date range on the left

  3. Fill in the pop-up as detailed below:

The ledger balance will now only reflect transactions that have occurred during the current tenancy.

2. Chasing arrears

  1. Complete the steps outlined above to change the date range to reflect that of the current tenancy.

  2. Navigate to Lettings properties > View properties.

  3. In the Action column dropdown of the relevant property, select Copy property details to create a copy of the property.

    • The record can be edited to rename this to contain Arrears or Debtors in the street name.

    • If this is a guaranteed rent property, edit the record to ensure the payments are switched off.

  4. In the Action column dropdown of the relevant property, select Link to landlord and link this copy property to the landlord.

  5. Navigate to Lettings properties > Property balances.

  6. Click the number within the Tenant arrears column against the copy property.

  7. From the top right, select the dropdown arrow next to Update due dates, then select Single due date and enter a rent invoice for the balance of arrears.

  8. Assign any payments from the previous tenant towards arrears as rent against this property.

  9. Navigate to Tenants > View Tenants.

  10. Click the pencil icon against the previous tenant.

  11. Scroll to the bottom of the page and click Copy to create a record to link to the copy property.

    1. To link the tenant to the new property, go to Lettings properties > View properties, locate the property, click the Action column and select Link to tenant. The tenant can then be selected from the list.
