Once a deposit has been lodged with the required tenancy deposit scheme (TDS), a key information document can be generated on SME Professional. This document confirms details of the lodged deposit including the amount, deposit scheme name and date it was paid to the scheme.
Note: This document meets the requirements of Regulation 42.
To create a key information document, please follow the steps below:
Go to Tenants > Deposit information.
Select the property the deposit relates to.
In the Select column, ensure all relevant tenants are ticked.
Total deposit: Enter the total deposit for the property. This amount will auto-populate if the Total deposit field has been filled out within the property record.
Date deposit received: The date the deposit was received from the tenant(s).
Date deposit was paid to the TDS: The date the deposit was paid to the relevant deposit scheme.
Landlord registration status: Set whether the landlord is registered or has applied to become registered.
Tenancy deposit scheme: Select the relevant deposit scheme name.
Click Create key information document and email.
The system will now do two things:
A PDF key information document will be created for each individual tenant
A pre-populated email to the tenants will generate containing links to their key information document.
Note: Individual letters are created for each tenant in line with the industry recommended best practice guidelines.
