Marketing - Portal leads functionality

Our integration with Rightmove, Zoopla and OnTheMarket allows details of new lettings and sales leads to be fed directly into SME Professional. Users can then convert these leads into potential tenant or buyer records.

Portal leads can be enabled for our Plus Package customers. Please see the link below for more information on our packages. If you would like to upgrade your package, please email [email protected].

1. Setting up the integration

To have this integration set up, please contact [email protected] with a request to have this leads functionality enabled. Within this email, please confirm if this is for Rightmove, Zoopla, OnTheMarket or all portals.

2. Page overview

To view any leads submitted through Rightmove, Zoopla or OnTheMarket, go to Correspondence > Portal leads.

Each time the portal leads page is visited, the system will look to pull through any new enquiries submitted since the last time the page was visited.

The Source column will confirm which portal the enquiry has come from.

3. Viewing new leads

The Correspondence > Portal leads page lists all new leads submitted through Rightmove, Zoopla or OnTheMarket. On this page, users can see information relating to each lead including their name, contact details and the nature of their enquiry.

Note, if the enquiry was related to a specific property listing, the property will be noted under the Property of interest column for reference.

Users can contact each lead via email if required by clicking on the email address within the Email column.

3. Converting leads

Each lead can be converted to a potential tenant or potential buyer record. Details of the lead will automatically pull through to the new enquiry record which saves the user from having to manually re-enter these details.

3.1 Checking to see if the lead already exists

To avoid the duplication of potential tenant/buyer records, the system will flag up if the lead already exists on the system as a potential tenant/buyer and if this lead has submitted any other portal enquiries.

If there are any existing records for this individual, the lead will show with an arrow icon (highlighted below). Click on this icon and the system will provide you with further information.

In the below example, there are 3 logs showing against the lead.

  • ID 901 indicates that this same individual has submitted another enquiry through the portal

  • ID 89 shows that there is already an open buyer record for this lead.

  • ID 179 indicates that there is already an open potential tenant record for this individual.

In this case, we would not recommend converting this lead as it would result in the duplication of potential tenant/buyer records. Instead, the existing tenant/buyer record can be updated to hold any new information. To edit the existing record, click on the edit pencil icon next to the relevant potential tenant/buyer log.

3.2 Converting a lead to a potential tenant/buyer record

We recommend that users check to see if a lead already exists on the system before converting it to avoid any duplications. Please see section 3.2 above for guidance on how to do so.

To convert a lead:

  1. Go to Correspondence > Portal leads

  2. Locate the lead in question

  3. In the Action column, expand the dropdown and select either Create potential tenant record or Create potential buyer record

  4. In a new tab, users will be taken to a new potential tenant/buyer record (depending on the option selected) and details of the lead will have been automatically pulled through

  5. If required, users can populate any other relevant information relating to the enquiry

  6. Click Update/Submit

3.3 Converting a lead to a potential owner/landlord record

To convert a lead:

  1. Go to Correspondence > Portal leads

  2. Locate the lead in question

  3. In the Action column, expand the dropdown and select either Create potential landlord record or Create sales appraisal

  4. In a new tab, users will be taken to a new potential owner/landlord record (depending on the option selected) and details of the lead will have been automatically pulled through

  5. If required, users can populate any other relevant information relating to the enquiry

  6. Click Update/Submit

4. Completing leads

Once a lead has been converted or if it does not require converting, we would recommend that the lead record is completed. This ensures that the portal leads page continues to list only new enquiries.

To complete a lead, please follow the steps below:

  1. Go to Correspondence > Portal leads

  2. Locate the lead in question

  3. Within the Complete column, click on the tick icon

  4. The status of the lead will be changed from new to complete

Completed leads can be viewed by clicking on Complete under the View filter.
