Tenancy pack - Setting up tenancy packs

The tenancy pack functionality allows users to customise which documents are to be generated and sent alongside the tenancy agreement.

More than one tenancy pack can be set up, for example, users may wish to have separate document packs for managed let and let only tenancies or for different deposit schemes.

1. Enabling the tenancy pack functionality

Note: Only an authorised superuser can enable the tenancy pack functionality

  1. Go to Admin > View all employees

  2. Click on Admin page

  3. Click on General

  4. On the left-hand side of the page, click on Tenancy packs

  5. If the toggle beside Customise documents to be generated and sent alongside the tenancy agreement is grey, click on it to enable the tenancy pack functionality

2. Creating tenancy packs

  1. Go to Tenants > Create tenancy

  2. Select Tenancy packs

  3. Click on + New tenancy pack

  4. Set the Title for this tenancy pack, for example, Fully managed or DPS

  5. Click Submit

  6. Repeat for all other required packs

3. Adding documents to a tenancy pack

3.1 Assigning existing tenancy pack documents

For tenancy pack documents already uploaded, users can assign each document to the correct tenancy pack. Note, one document can be assigned to multiple tenancy packs.

  1. Go to Tenants > Create tenancy.

  2. Select Tenancy packs

  3. Locate the document in question.

  4. Click on the edit pencil icon.

  5. Click into the Tenancy packs field.

  6. Select each tenancy pack this document is to be added to (shown below). Users can manually type in the title of a new tenancy pack to create a new pack option.

  7. Click Submit.

3.2 Uploading new tenancy pack documents

  1. Go to Tenants > Create tenancy

  2. Select Tenancy packs

  3. Click on + New template

  4. Enter a Title for the document.

  5. Select the tenancy pack(s) this new template is to be added to. Users can manually type in the title of a new tenancy pack to create a new pack option.

  6. Click on Choose File and locate the template to be uploaded.

  7. Click Submit

4. Viewing documents per tenancy pack

  1. Go to Tenants > Create tenancy

  2. Select Tenancy packs

  3. The Tenancy pack column will list the name of the tenancy pack(s) each document is assigned to (shown below)

  4. To view all documents in just one tenancy pack, expand the Filter by tenancy pack dropdown and select the relevant pack name

  5. The table will then update to list only documents assigned to that one tenancy pack
