Arrears - Checking and chasing rent arrears

1. Checking the tenant balance

  1. Navigate to Lettings properties > Property balances

  2. Locate the Tenant arrears column and click on the column header twice

  3. The values displayed within this column show the arrears and credit balances for each property

Three different values may be shown within the tenant arrears column:

  • A positive balance indicates tenant arrears (the tenant has underpaid)

  • A negative balance indicates tenant overpayments

  • £0 balances indicate that the tenant is up-to-date with payments

If the tenant arrears figure is not showing correctly, please click here.

Note: It is strongly advised that users do not pay landlords where the tenant shows in credit (negative arrears figure).

The property balances page also provides additional information on the nature of the arrears, as shown below.

2. Chasing rent arrears

  1. Navigate to Lettings properties > Property balances

  2. Click on the figure under the Tenant arrears column

  3. Users will be directed to the Tenant ledger for the select property

  4. From the top right of the ledger, click Email tenants or the arrow dropdown to select SMS tenants (depending on how the tenants are to be contacted)

  5. A pre-populated text message or email will open that contains details of the arrears, including the amount and what property it relates to

The Tenant and Guarantor Details tab (located towards the top of the page) provides additional information about the tenants, including whether they have a guarantor. If the guarantor is to be contacted, their mobile number/email address can be copied and pasted into the text message/email before sending.

The latest 10 financial notes logged against the property can be viewed by hovering over the Financial notes icon at the top right of the page.
