Arrears - Checking and chasing rent arrears

This article explains how to review tenant arrears using the Property Balances page and how to contact tenants regarding outstanding rent payments.

1. Checking the tenant balance

  1. Navigate to Lettings properties > Property balances

  2. Locate the Tenant arrears column and click on the column header twice

  3. The values displayed in this column show the tenant arrears or credit balance for each property

Three different values may be shown within the tenant arrears column:

  • A positive balance indicates tenant arrears (the tenant has underpaid)

  • A negative balance indicates tenant overpayments

  • A balance of £0 indicates that all tenant payments are up to date

Note: Landlords should not normally be paid when a tenant account is in credit (shown as a negative arrears balance). The tenant balance should be reviewed first to avoid overpayment.

The property balances page also provides additional information on the nature of the arrears, as shown below.

2. Chasing rent arrears

  1. Navigate to Lettings properties > Property balances

  2. Click on the figure under the Tenant arrears column

  3. Users will be directed to the Tenant ledger for the selected property

  4. From the top right of the ledger, click Arrears communications

  5. A pre-populated SMS message or email template will open, depending on the option selected. Each template contains details of the arrears, including the outstanding amount and the associated property.

3. Additional information

Tenant and Guarantor Details

The Tenant and Guarantor Details tab (located towards the top of the page) provides additional information about the tenants, including whether they have a guarantor.

If the guarantor is to be contacted, their mobile number/email address can be copied and pasted into the text message/email before sending.

Financial Notes

The latest 10 financial notes recorded against the property can be viewed by hovering over the Financial Notes icon in the top-right corner of the page.

These notes may provide useful context when reviewing or chasing arrears.
