Viewings - Completing/cancelling a viewing

1. Completing a viewing

Once a viewing has taken place, we recommend that it is completed. This ensures that the Properties > Viewings page continues to list only upcoming/future viewings.

  1. Go to Lettings Properties > Viewings

  2. Locate the relevant viewing

  3. In the Complete column, click on the tick icon

  4. A confirmation pop-up will appear asking the user if they wish to send a feedback email to all attending viewers

    1. OK - The viewing will be completed and a pre-populated feedback email will appear which can be sent. For GDPR reasons, the email addresses of all viewers will appear in the BCC field

    2. Cancel - The viewing will be completed and no viewing feedback email will be generated

This viewing will no longer appear on the open viewings page. To locate a completed viewing, click on the Complete items link.

2. Cancelling a viewing

  1. Go to Lettings Properties > Viewings

  2. Locate the viewing in question

  3. In the Cancel column, click on the red cross

  4. A pop-up will appear asking the user to confirm what action they would like to take:

    1. Only cancel this viewing for this property - only this one viewing will be cancelled

    2. Cancel this viewing AND all future viewings for this property (if any) - this viewing along with any future viewings for the property will be cancelled

    3. Exit this process and don't cancel any viewings - no viewings will be cancelled

Once cancelled, the viewing will be moved to the Cancelled items section.

Note: If a viewing has been completed/cancelled in error, it can be reopened. Locate the relevant viewing (in the Complete items or Cancelled items section) and click on the tick within the Reopen column.
