1. Instructing work (for a single certificate)
Go to Properties > Safety certificates and compliance
Locate the certificate in question
In the Email column, expand the dropdown menu
There are a number of different Instruct work emails available to choose from depending on what contact details are to be included (none, tenant's or landlord's) and who the invoice should be made out to (landlord or agent)
Select the most relevant email option
A pre-populated email to the contractor will appear which contains details of the certificate that needs renewal
Click Send once the email has been revised
2. Instructing work (for multiple certificates)
If there is more than one certificate due for renewal for the same property and same contractor, then the below pop-up will appear for the user upon selecting one of the instruct work emails.
The user can then select all the relevant certificates to be included in the email to the contactor so they do not need to send an individual email per certificate renewal.
The following criteria must be met in order for for this pop-up to appear:
The expiry date of the certificates are +/- 90 days from the current date
All certificates are for the same property
All certificates are assigned to the same contractor
3. New certificate instructed column
Once a certificate renewal has instructed:
Locate the New Certificate Instructed column
Click on the tick icon
The column will date stamp with the current date advising users that this renewal has already been instructed
