Tenancy - Adding new properties with existing tenancies

The legacy setup process should be completed for any new properties taken on that have tenants already in situ/existing tenancy in place.

Before proceeding, please ensure the property, landlord(s) and tenant(s) have been added to the system and are linked together.

Completing a legacy setup

  1. Go to Admin > Legacy setup

  2. Select the property address

  3. Within the Select column, tick all joint tenants

  4. Populate the fields with the required tenancy information

  5. Click on Add details

The following actions will be taken upon completing this process:

  • Add future rent due dates to the ledger

  • Add landlord payment reminders

  • Update selected tenants' move in date

  • Update the property's date of entry

The fields are mostly self-explanatory. However, we have outlined some brief guidelines for reference below.

  • Rent due date: Enter the date on which you want the rent reminders to start.

  • Current rent: Amount of rent currently paid for the property.

  • Original date of entry: Original move-in date for the tenants.

  • Last date rent was raised: Optional, but please be aware that if not entered, the system will initially list the property as being due a rent rise sooner than it should.

  • Original length of lease: Enter the initial fixed period of the lease (if relevant).

  • Payment made: How often the tenants pay their rent.

  • Monthly payment date to landlord: Monthly reminder as to when the landlord should be paid (Defaults to 14 days after the rent due date).

  • Monthly payment due to landlord: Amount due to the landlord each month. This is calculated as the current rent minus the management fee.

  • Deposit received: Only enter an amount if you currently hold a deposit on behalf of a tenant before it is placed in a Tenancy deposit scheme. If it has already been transferred, leave this blank.

  • Deposit received date: The date on which the tenant paid their deposit. If left empty, the deposit amount will not be automatically added to the system's financial area.

  • Float currently held: Only enter an amount if you currently hold any float monies on behalf of the landlord.

  • Float received date: It is up to your company what date is recorded here. You may wish to choose the day it was received or the date you started using the system. Please note, if you do not add a date, no float payment will be added.

Please note that the Legacy setup feature applies only to properties without a date of entry.
