End tenancy - Ending a tenancy

Note: It is important that users end the current tenancy on SME Professional before a new tenancy is created for the same property.

By completing the end tenancy process, the system will carry out the below actions:

  • Updates the selected tenants’ move-out date and status

  • Removes any future rent reminders and landlord payment dates after the final reminder.

  • Updates the last rent in and out payment reminders to a pro rata value.

To end a tenancy, please follow the steps listed below:

  1. Go to Tenants > End Tenancy

  2. Select the relevant property

  3. In the Select column, tick each outgoing tenant

  4. Set the Move-out date

  5. Date of final tenant rent payment: Select the date on which the tenants are to make their final payment. Note, the dates available in this dropdown pull directly from the tenant ledger

  6. Date of the final payment to the landlord: Select the date on which the landlord is to receive their final payment. Note, the dates available in this dropdown pull directly from the tenant ledger

  7. If the property is going back on the market, users can set the property's availability date and advertised rent amount here

  8. Final rent payment due: A pro-rata amount will be automatically calculated based on the set move-out date and what the current rent is for the property Note: we recommend that users double-check this before proceeding.

  9. Final rent-out payment to the landlord: This amount is calculated as the final rent payment due minus your management fee

  10. Change status to 'Occupied on market' - If the property is going back on the market, tick this checkbox

  11. Click Submit

A pre-populated email to the outgoing tenants will open, confirming details of their move-out, including the move-out date and when their final payment is due. Once sent, click on the blue Email landlord button to generate an email to the landlord advising them of the upcoming move-out.
