Hazelton Mountford provides letting agents with a tenant referencing service. To be set up with this integration, please call 0131 285 1022 and choose the sales option.
1. Updating the tenant's record
Before creating an application, the following details must be entered within the tenant's record:
Go to Tenants > View tenants
Locate the tenant in question
Click on the edit pencil icon
Tenant details tab - Enter the tenant's name and contact details
Guarantor tab - If applicable, enter the name and contact details of the guarantor
Financial tab - Within the Type of credit reference dropdown, select the relevant option.
Comprehensive = Full check on references and credit check
Instant = Credit check only
Financial tab – Within the Amount of rent to pay (£) field, enter the amount of rent this individual tenant is due to pay. For example, if total rent is £1000 and two tenants are paying half, enter £500 on each tenant record
Dates tab – Set the proposed move-in date
Click Update tenant
2. Creating an application
Go to Tenants > Check references
This page defaults to show tenants with a status of 'Awaiting checks'. Use the View filter to change this
Within the Background checks column, select Add to new application or Add to new application with guarantor
If a red exclamation icon is showing, hover over it to see what information is missing and then click the pencil icon to update the tenant's record.
Repeat step 3 for each tenant who is to be added to this application. Note, for subsequent tenants, the text will change to read Add to opened application or Add to opened application with guarantor
Once all tenants have been added, click on Start application within the Background checks column
A pop-up message will appear asking you to confirm this action. Click on OK to submit the application
Once submitted, the background checks column will update to list details of the application including the status of both the application and tenant (Shown below).
3. Tracking an application
To check for updates on an in-progress application,
Go to Tenants > Check references
Locate the required application
Within the background checks column, click on Check status
As the application progresses, the Scores status, Public data, Affordability status, Address status, Income status and Landlord status columns will update to indicate whether the applicant has passed or failed
Within the Background checks column, the Application status and Tenant status will also update as the application progresses
4. Resetting an application
Go to Tenants > Check references
Locate the application in question
Within the Reset column, click on the red cross
Confirm this action by clicking OK in the pop-up message. Otherwise, click on Cancel
Note: The Reset option will not cancel the application with Hazelton Mountford, it will simply reset the application on SME Professional so it can be started again. Hazelton Mountford must be contacted directly to cancel any active applications.
