Common error messages that may appear when trying to start new Let Alliance referencing applications, and how these can be resolved.
1. Proposed move in date should be greater than current date
There several things that can be checked:
1.1 Tenant record
On the Tenants > Reference and credit checks page, click on the edit pencil icon against the tenant in question
Open the Dates tab
Ensure the Proposed move in date field is set to a date in the future
Select Update tenant
If the tenant has a valid proposed move in date but the error continues to be shown, this indicates a previous application for this property needs to be archived.
1.2 Archiving past applications
The Reference and credit checks page defaults to list tenants set to Awaiting checks. However, users can change this default view to check if any previous referencing applications for this property are still active.
Go to Tenants > Reference and credit checks
Expand the View dropdown and select Past tenant
Search for the property in question
If there are any old open applications showing, click on the box icon within the Archive column for each one
Repeat steps 2-4 using the View dropdown to check Fall through and Move out date given tenants
Once all old referencing applications for the property have been archived, users can submit the new application successfully.
2. The amount of rent to pay value must be greater than 0
If the above error message appears, please ensure that the Amount of rent to pay has been set against the tenant's record.
Go to Tenants > View tenants
Select the pencil icon against the tenant in question
Open the Financial tab and locate the Other section
Populate the Amount of rent to pay (£) field for each tenant, ensuring this totals to the current rent set against the property record.
Once this field has been populated, the referencing application can be submitted to Let Alliance.
Note: Should a tenant have £0 set as their share of rent, the tenant must be added directly to the Let Alliance portal until a further update has been made to the integration.
3. Setting the Type of credit reference
The type of credit reference required can be set from two areas:
3.1 From the Reference and credit checks page
Go to Tenants > Reference and credit checks
Locate the tenant
In the Type of credit reference column, select the required reference type from the dropdown
3.2 From the tenant record
Go to Tenants > View tenants
Locate the tenant and click on the pencil icon to open their tenant record
At the bottom of the Financial tab, locate the Type of credit reference field
Select the required reference type from the dropdown.
Update tenant
4. Can tenants be submitted with the same email address?
To successfully create a referencing application, each tenant must have their own individual email address. Let Alliance will not accept an application if an applicant already exists with the same email address.
If multiple tenants have provided the same email address, they must be contacted to confirm a different one. Once this has been confirmed and updated on the tenant's record, they can be submitted for referencing using the new email address.
5. Country cannot be determined from postcode
If this message shows on the application preview there is likely a trailing space in the Postcode field of the property record.
In the preview, click on the pencil icon beside the Property details header to open the property record in a new tab
Remove any extra spaces in the Postcode field
Update property
Go back to the Reference and credit checks tab and click on Refresh in the application preview
Please note, the property postcode should also be in a UK format. For example 'EH6 7EZ', not 'EH67EZ'.
6. Changing the lead tenant
The lead tenant must be the same for all tenants being referenced for the same property. If the lead tenant changes between application submissions, an error will indicate that a lead tenant already exists in the tenancy.
Users can resolve this by updating the lead tenant on the system
Go to Tenants > Property-links/Property link table
Locate the tenant who should be the lead tenant for the property
Click on Move to top
Once this has been updated, users can try adding them to the opened application again.
If the error shows but there is only one tenant being referenced, ensure that all past applicants have been archived. Please refer to point 7. on archiving past tenants.
7. 'Add to opened application' showing instead of 'Create application'
If 'Add to opened application' shows in the Background checks column when no tenants in the current tenancy have been submitted for referencing yet, this is likely due to applications from previous tenants still being active.
Go to Tenants > Reference and credit checks
Expand the View dropdown and select Past tenant
Search for the property in question
If there are any old open applications showing, click on the box icon within the Archive column for each one
Repeat steps 2-4 using the View dropdown to check All current and Fall through tenants
Once these applications have been archived, the Background checks column will show 'Create application' as expected for the new tenant being referenced.
8. Landlord details being sent
Our integrations with Let Alliance and HomeLet support sending landlord details.
This information will not be included by default. If you’d like landlord details sent when submitting referencing information, please contact your account manager at Let Alliance/Homelet, who can activate this within your account, alongside informing the support team at [email protected].
8.1. Landlord address
Let Alliance and HomeLet have confirmed that they only accept landlords with a UK based correspondence address, so if landlord details are being sent when submitting referencing information, a UK address must be populated in their owner record.
Let Alliance has advised that the best solution to enable users to submit information for landlords living abroad would be to list the landlord's correspondence address as the agency office address.
If the landlord's address has been updated on the system to allow referencing information to be submitted, once the relevant applications have been created, the landlord's address can then be reverted.
