The tenancy dates section is a useful tool for keeping track of tenants who are due to move in, move out or those in active tenancies.
Go to Tenants > Tenancy dates
The page defaults to show you a list of future move out dates for tenancies you have carried out the End Tenancy procedure in the system for. The table will present you with a wide variety of information regarding the tenancy (As shown below). The tenants’ name, status, contact details and their associated property will also be shown.
You can easily view move outs that occurred last month or that are due to occur this month or next month by using the Move outs dropdown from the filters and selecting the required option.
Rent increase/Rent review
The tenancy dates page makes it easy for you to keep a track of the rent review dates of a property by presenting you with the following information:
Rent last increased: This is the date the rent was last increased using the ‘Create Tenancy’ page or updating due dates within the Rent in ledger
Rent last reviewed: The date set by yourself in which the rent was last reviewed for the property
Next rent review: A date set by yourself for when the next rent review is to take place
If either of the review dates have not yet been entered on the system, they will show as Not set. To set these dates, click the Not set text. This will take you to the tenants record where you can input these dates.
End of fixed term
You can view by fixed term tenancies ending in less than 1, 2, or 3 months from today, so you can easily monitor those coming up for renewal if you carry out tenancy renewals rather than rolling contracts.
Current tenancies
You can also view a list of all current tenancies and their move in/move out dates etc by expanding the Tenant status dropdown and selecting the required option:
Filtering data
You can filter the results on the Tenancy dates page at any point using the search box or using the dropdown menus.
You can use any of the table column headers to sort the data within the table. For example, to view the End of fixed term dates in chronological order simply click the End of fixed term column header.
From any of these tables, you can edit the tenant by clicking on the pencil icon under the Edit column. To edit the property record, simply click on the property address.
Contacting your tenants
You can easily contact your tenants by clicking on their mobile number or email address. A blank email or text message will pop-up for you to enter your message.
Exporting data
To export the data table in an excel format click the Export button located on the right-hand side of the search box (highlighted below).
