On SME Professional, tenants have the ability log into their own section of the software and view documentation relevant to their property.
Note: the tenant portal was designed to hold useful property documents, for example, instruction manuals, information on avoiding dampness, council information and local area information.
All current (and future) tenants of the property will access the same area so we recommend that it is not used to hold any documents which include sensitive/personal information, for example, tenancy agreements.
1. How the portal works
Within the tenant portal, users have the option to view certain documents related to the property (see section 3 for further information) and set their forwarding address.
2. Sending a tenant their login details
Go to Tenants > View tenants
Within the Action column, expand the dropdown and select Email login details
This email will contain the username and password for the tenant along with the web page URL link to the tenant portal.
3. Copying documents to the tenant portal
In order for a document to show in the tenant portal, it must be copied to the Tenants accessible property documents folder on SME Professional.
Go to Lettings Properties > View properties
Within the View column, expand the dropdown, and select View uploaded files
There is a row of tabs at the top of this page, each containing different document sub-folders.
Locate the relevant document folder
Click on the list icon in the View documents column
To send a copy of a document to the tenant portal, click on the icon within the Copy to tenant area column
To remove a copied document from the portal:
Go to Lettings Properties > View properties
Within the View column, expand the dropdown, and select View uploaded files
Open the Owners & Tenants tab
Locate the Tenant accessible property documents folder
Click on the icon within the View documents column
Locate the document to be removed
Within the Delete column, click on the red cross
Please note, this will remove the document from the tenant portal only. The original copy of the document will not be deleted.
