Property marketing - Property matching functionality

SME Professional allows users to email current potential buyers directly with details of available properties that match their criteria.

1. Find all matching buyers for a property

In SME Professional, users have the ability to view a list of all buyers whose criteria match a particular property and easily share property information with multiple buyers through email.

1.1 Matched buyers page

To access the Matched buyers page:

  1. Go to Sales properties > View available properties

  2. Find the specific property

  3. Expand the dropdown menu in the Actions & Views column, then choose Find matching buyers

This page will list all open buyers who match this property based on their set criteria.

1.2 Matching email

Buyers with criteria that match the property that hasn't been sent these property details previously will be pre-selected in the 'Select for email' column.

To send a matching email:

  1. Ensure all required buyers are ticked within the Select for email column

  2. Select Email property details to selected buyers

  3. A preview of the email will show, displaying details of the property, such as the lead image, sale price and long description

  4. Users can modify the subject line of the email by updating the Subject field

  5. Click Send

Note: All recipient email addresses will be BCC'd.

2. Find all matching properties for a buyer

Within SME Professional, users can view all properties matching a buyer's criteria and share property details via email. We've enhanced this feature to enable users to include additional available properties in the matching email, even if they don't fully match the criteria.

2.1 View matched properties page

To access the Matched properties page:

  1. Go to Sales properties > Potential buyer

  2. Locate the required potential buyer

  3. Within the Actions column, expand the dropdown and select View matched properties

On this page, all properties that fully match the buyer's criteria will appear at the top of the table with a white background, followed by all other available sales properties with a grey background.

2.2 Matching email

Properties that match the buyer's criteria but haven't been sent to the buyer previously will be pre-selected in the 'Include in match email' column.

To send a matching email:

  1. Ensure all required properties are ticked within the Include in match email column

  2. Select Email selected properties

  3. A preview of the email will show, displaying details of each selected property, such as the lead image, sale price and long description

  4. Properties meeting the criteria will be displayed at the top of the email, while other properties will be under the heading 'Other properties you may like' at the bottom.

  5. Users can modify the subject line of the email by updating the Subject field

  6. Click Send

3. Matching consent

In the buyer's record, users can specify their preference regarding receiving property-matching emails. If the preference is set as 'Consent denied', a warning will display on the Matched properties page.

Buyers marked as 'Consent denied' will not be sent any property-matching emails.

To set/update property matching consent:

  1. Go to Sales properties > Potential buyers

  2. Find the specific buyer

  3. Click on the edit pencil icon

  4. In the Lead buyer tab, expand the Property matching consent dropdown

  5. Select the relevant consent option

  6. Click Submit

4. Matching tolerance

A percentage tolerance within the system can be established for buyer-property matching. For instance, if the system's tolerance is 5% and a buyer has a maximum budget of £200,000, the system could match them to properties valued up to £210,000.

Buyers or properties matched using this tolerance level will not be automatically marked for inclusion in the matching email. This allows the agent to make the decision whether to include them or not.

Note: Once set, the tolerance level will apply to all Sales matching.
