Emails - Sending a bulk email to all sellers/potential buyers

To send a bulk email to all sellers or potential buyers, please follow the steps listed below.

Note, this process involves sellers/potential buyers information being exported from the system and their email addresses copied into the BCC field of a new email to be sent directly from your email service platform (Outlook/Google).

This way, they will each receive the email individually and will not be able to see each other's email addresses.

1. Sellers

  1. Go to Sales properties > Reports

  2. Select Export owners - contact details for mailing systems

  3. This export contains the names and preferred email addresses of all owners

  4. Copy and paste the email column into the BCC field on the email

The export includes Marketing consent and Owner status columns to allow users to filter the information before copying the email addresses. For example, a user may want to email specific marketing materials to sellers with an 'Enquiry' status only.

A filter can be placed on the Owner status and Marketing consent columns and any statuses and consent options that are not required can be unticked.

2. Potential buyers

  1. Go to Sales properties > Reports

  2. Select Export potential buyers - contact details for mailing systems

  3. This export contains the names and preferred email addresses of all current potential buyers

  4. Copy and paste the email column into the BCC field of the email

The export includes Marketing consent, Availability to buy status, Reason for purchase and Financial status columns which allow users to filter the information for specific purposes. For example, a user may wish to obtain a list of email addresses for potential buyers who have 'buy-to-let' set as their reason for purchase.

A filter can be placed on the relevant column and any options that are not required can be unticked. The spreadsheet will then update to list only contact information for potential buyers with the selected options.
