To send a bulk email to all tenants or landlords, please follow the steps listed below.
Note, this process involves landlords/tenants information being exported from the system and their email addresses copied into the BCC field of a new email to be sent directly from your email service platform (Outlook/Google).
This way, they will each receive the email individually and will not be able to see each other's email addresses.
1. Landlords
Go to Admin > Exports
Within the Tenants and owners area, select Current owners (landlords) - details for mailing systems
This export contains the names and preferred email addresses of all current owners
Copy and paste the email column into the BCC field on the email.
The export includes a Management type column that allows users to filter the information based on the management type set within each landlord's property record. For example, a user may wish to only send an email to landlords on the fully managed service.
A filter can be placed on the Management type column and any types that are not required can be unticked.
2. Tenants
Go to Admin > Exports
Within the Tenants and owners area, select Tenants - details for mailing systems
This export contains the names and preferred email addresses of all current tenants (including those set to Fall through and Move out date given)
Copy and paste the email column into the BCC field of the email.
The export includes a Tenant status column which allows users to filter the information based on status. For example, a user may wish to obtain a list of email addresses for tenants that are set to 'In residence'.
A filter can be placed on the Tenant status column and any statuses that are not required can be unticked. The spreadsheet will then update to list only contact information for tenants with the selected statuses.
