Landlord payment run - Step 7: Generate BACS payments

Before the BACS schedule can be created, users must generate the posted and emailed landlord statements. For further guidance on how to do this, please click here.

1. Creating a BACS file to import into the bank

If the user's bank allows BACS schedule payments, they can follow the steps below to create a BACS schedule.

1.1 Creating the BACS schedule

  1. Navigate to Lettings properties > Property balances

  2. From the left sidebar, click on Generate BACS payments - this will add all payments for this payment run to the BACS schedule

  3. From the left sidebar, select View BACS schedule - this page will display all the payments that have been added to the BACS schedule

  4. From this page, select Generate BACS Schedule on the top right of this page - this will download the BACS schedule to the user's computer

This file can then be uploaded to the relevant banking platform. The file should not be opened or edited before being uploaded.

1.2 Completing payments

After the BACS schedule has been successfully uploaded and payments have been instructed in the bank, users should complete the payments on SME Professional.

  1. Navigate to Lettings properties > Property balances

  2. Select View BACS schedule

  3. Select Mark ALL as complete

It is vital that this step is not actioned until the bank has accepted the payments. Completing the payments will remove them from the current BACS schedule and add them to the completed list.

To view completed BACS payments, navigate to the View BACS schedule page (detailed above) and click View complete.

2. Creating a list of payments to make manually

If the user makes all payments manually in the bank, they can follow the steps below to create a list of payments.

2.1 Creating the list of payments

  1. Navigate to Lettings properties > Property balances

  2. Click on Generate BACS payments - this will add all payments for this payment run to the BACS schedule

  3. Select View BACS schedule - this page will display all the payments that have been added to the BACS schedule

  4. From this page, select Export from the top right-hand corner of the page or select Generate authorisation sheet

  5. This will create a spreadsheet or a PDF file showing all payments, which can be downloaded or printed for the user to refer to when making payments in the bank

2.2 Completing payments

After the payments have been instructed in the bank, users should complete the payments on SME Professional.

  1. Navigate to Lettings properties > Property balances

  2. Select View BACS schedule

  3. Select Mark ALL as complete

It is vital that this step is not actioned until the bank has accepted the payments. Completing the payments will remove them from the current BACS schedule and add them to the completed list.

To view completed BACS payments, navigate to the View BACS schedule page (detailed above) and click View complete.
