1. Vendor chain management overview
A property chain is created when multiple property transactions are interconnected. Typically, each party is both selling a property and purchasing another, creating a sequence of dependent transactions.
To access the vendor's chain management page or the full property chain for a property:
Go to Sales properties > View available properties or View sales progression
Locate the required property
Select the Chain icon (shown below)
If a property does not have a chain associated with it, the chain icon will appear black. However, if it does have a chain, the chain icon will be green.
2. Adding a property to a vendor chain
Note: If the property being added already belongs to another chain within the system, all linked properties above and below that property will automatically be incorporated into the new chain. This saves users from having to add all the properties manually.
2.1 Adding a property sold by your agency
In the Chain tab, select the Add to vendor chain button
When prompted with Is this property being sold by your agency?, select Yes
Select the required property address
Enter any relevant chain notes within the Notes field
Select Submit
The Chain Management page will refresh and display the newly linked property
2.2 Adding a property sold by another estate agent
In the Chain tab, select the Add to vendor chain button
When prompted with Is this property being sold by your agency? select No
Complete the fields within Add a Property Another Estate Agent Is Selling, including:
Property status (for example, On Market, Under Offer, Pending)
Proposed exchange date
Chain notes
Property address
Estate agent details
Vendor's solicitor or lawyer details
Select Submit
The Chain Management page will refresh and display the newly added property
Note: When adding the estate agent and owner lawyer details, users can select their name from the relevant dropdown if they already exist as a contact on your system or select the + Add new... button to add details for a new contact.
2.3 Adding a property that is being sold by another agent (that has already been added to another chain)
Note: When a property sold by another agent has previously been added to a chain, its details are stored for future use.
This allows the property to be added to additional chains without re-entering the information.
In the Chain tab, select the Add to vendor chain button
When prompted with Is this property being sold by your agency? select No
Expand the Select a property another estate agent is selling that you have already added to a chain dropdown, and select the relevant property address
Amend any property or chain details if required
Select Submit
The Chain Management page will refresh and display the property within the chain
