Property management - Adding properties to a vendors chain

1. Vendor chain management overview

A property chain describes a line of buyers and sellers that are linked together because each is selling and buying a property from one of the others (apart from those at the beginning and the end of the chain).

To access the vendor's chain management page or the full property chain for a property:

  1. Go to Sales properties > View available properties or View sales progression

  2. Locate the property in question

  3. Click on the chain icon (shown below)

If a property does not have a chain associated with it, the chain icon will appear black. However, if it does have a chain, the chain icon will be green.

2. Adding a property to a vendor chain

Note: If the property being added is already part of a different chain on your system, all properties linked upwards or downwards to this one property will also be added to the chain. This saves users from having to manually add all the properties one by one.

2.1 Adding a property that your agency is also selling

  1. In the Chain tab, Click on the Add to vendor chain button

  2. Select Yes on the Is this property being sold by your agency pop-up and select the relevant property address.

  3. Enter any relevant chain notes within the Notes field

  4. Click Submit

  5. Users will then be re-directed back to the chain management page, and this property should now appear as part of the chain

2.2 Adding a property that another agent is selling

  1. In the Chain tab, Click on the Add to vendor chain button

  2. Select No on the Is this property being sold by your agency pop-up

  3. Locate the Add a property another estate agent is selling section and populate the fields with details of the property, including:
    - the property status (ie pending, on the market, under offer etc)
    - the proposed exchange date
    - any relevant notes
    - the address of the property
    - details of the estate agent
    - details of the vendor's/owner's lawyer

  4. Click Submit

  5. Users will then be re-directed back to the chain management page, and this property will now appear as part of the chain

Note: When adding the estate agent and vendor/owner lawyer details, users can select their name from the relevant dropdown if they already exist as a contact on your system or select the + Add new... button to add details for a new contact.

2.3 Adding a property that is being sold by another agent (that has already been added to another chain)

Note: Once a property (that is being sold by another agent) has been manually added to a chain, details of that property will be saved for reference. Users can select this property from a dropdown in other chains to prevent the manual re-entering of the same data.

In the Chain tab, Click on the Add to vendor chain button

  1. Select No on the Is this property being sold by your agency pop-up

  2. Expand the Select a property another estate agent is selling that you have already added to a chain dropdown and select the relevant property address

  3. If required, make any amendments to the property/chain details

  4. Click Submit

  5. Users will then be redirected back to the chain management page, and this property should now appear as part of the chain
