Tasks - Managing and completing open tasks

1. Tracking overdue tasks

  1. Go to Tasks > Task manager

  2. Locate the Due date column and click on the column header

Tasks with due dates in the past will appear at the top of the table followed by those with due dates in the near future.

To export this data as an Excel spreadsheet, click on the blue Export button located to the right-hand side of the Search field.

2. Adding task notes

Any additional information relevant to a task, for example, any contact that has been made or the date certain documents were sent out, can be added as task notes.

  1. Go to Tasks > Task manager

  2. Locate the relevant task

  3. In the Task notes column, click on the notes icon

  4. Click on + task note

  5. Enter a description of the note

  6. Set the Reported date

  7. Set who is adding this note

  8. Click Submit

Once a note has been added, the Task notes column on the Tasks > Task manager page will update to reflect how many notes have been logged against a task.

3. Updating tasks

3.1. Completing a sub-task

  1. Go to Tasks > Task manager

  2. Locate the required task.

  3. Click on the arrow icon

  4. Locate the sub-task that is to be completed

  5. Click on the tick icon.

Upon completing a sub-task, the text will become italicised and the current date will be date-stamped against the task along with the name of the user who has completed it.

3.2 Completing a main task

Completing tasks once no further action is required ensures that the Task manager page continues to list only open/in-progress tasks.

  1. Go to Tasks > Task manager

  2. Locate the required task

  3. In the Complete column, click on the tick icon

  4. A confirmation dialogue box will appear

  5. Click on Yes to confirm the action or No to cancel the action

Once confirmed, the task will be moved to the Completed items section.
