Tasks - Adding and using task templates

For tasks that take place regularly, the templates section allows users to create default task templates that can easily be converted into an 'open' task. This saves users time from having to create the same task from scratch each time.

1. Creating a new task template

  1. Go to Tasks > Task templates

  2. Click on + Task list template

  3. Give the new template a Title and Description

  4. Click Submit

A new template option will now appear within the Task list templates table.

1.1 Adding sub-tasks to a template

Larger tasks can be broken down into sub-tasks allowing users to track the completion of individual steps within one task.

  1. Go to Tasks > Task templates

  2. Locate the relevant template

  3. In the Sub-tasks column, click on the + icon

  4. Enter a Title and Description

  5. Click Submit

The number shown under the Sub-tasks column indicates how many sub-tasks have been added against that main template.

2. How to edit a task template or sub-task

2.1 Updating the main task

  1. Go to Tasks > Task templates

  2. Locate the relevant template

  3. Click on the edit pencil icon located to the left of the task title

  4. Amend the task title and/or description

  5. Click Update

2.2 Updating a sub-task

  1. Go to Tasks > Task templates

  2. Locate the relevant template

  3. Click on the arrow icon on the left hand side of the table

  4. Locate the sub-task to be updated

  5. Click on the edit pencil icon

  6. Amend the task title and/or description as required

  7. Click Update

3. Converting a template to a live task

To convert a task template into a live/open task:

  1. Go to Tasks > Task templates

  2. Locate the relevant template

  3. In the Submit template to task list column, click on the upload icon

  4. Select the property this task relates to

  5. Select the employee who is assigned to this task

  6. Optional, set the employee who is adding this task

  7. Click Submit and add tasks

This task will now appear on the Tasks > Task manager as an 'open' task.
