Properties - Archiving a property, viewing archived properties and unarchiving a property

SME Professional has been designed specifically to not delete property records.

This is due to all of the important financial information logged against the property.

Instead, the system offers the ability to hide old properties. This allows for future reference to the property and/or any financial information which is linked to it.

However, the archived properties will not be visible when carrying out day-to-day tasks, such as arranging periodic inspections and safety certificates.

1. Archiving a property

  1. Go to Lettings properties > View properties

  2. Locate the property

  3. Within the Street column, click on the property address

  4. Expand the Property status dropdown

  5. Select Past property

  6. Click Update property

2. Locating a past property

  1. Go to Lettings properties > View properties

  2. Click on the Advanced search bar

  3. Expand the Property Status dropdown and select Past property

The table will then update to list only past properties and the search field can be used to filter down the results should a user wish to view one past property in particular.

3. Un-archiving a past property

  1. Go to Lettings properties > View properties

  2. Click on the Advanced search bar

  3. Expand the Property status dropdown and select Past property

  4. Locate the past property

  5. Within the Street column, click on the property address

  6. Expand the Property status dropdown and select the required status

  7. Click Update property

This property will now appear on the front end of your SME Professional system as a current/live property.

4. Unable to archive a property

A property cannot be archived if it meets one of the following criteria:

  • It is the lead property of a portfolio where one or more linked properties are still active

  • It has outstanding financial balances

If a user attempts to archive the property, they will be presented with a warning message that explains why the property cannot be archived.

Users should also check that properties have no outstanding landlord deductions prior to archiving.

If the property is the lead property in a portfolio, users can go to Lettings properties > Property-portfolio links and select a new lead property before attempting to archive the property again. If the entire portfolio is to be archived, please archive all linked properties first.

If the property has outstanding financial balances, these need to be resolved (balance should equal £0) before the property can be archived.
