Safety certificates - Using the certificate audit page

The Safety Certificate Audit page can be used to check properties for valid certification on a certificate-to-certificate basis. To access this page, go to Lettings properties > Safety certificates and compliance > Safety certificate audit

The page defaults to check properties for valid Landlord Gas Safety certification. To change the certificate type you are looking at, click the relevant link under 'Check properties for...'​

1. Viewing properties with no valid certificate

The Valid certificate and Expiry date columns can be used to see which properties have no valid certificate for the selected certificate and why this is the case.

Click on the Valid certificate column header to group properties together based on their certificate status. The Valid certificate column is colour coded as follows:

  • Red - No valid certificate

  • Blue - No gas supply at property or Property preference set to No

  • Green - Valid certificate (the current number of valid certificates will also be listed)

2. Valid certificate column explanation

There are a few different statuses which can show within the Valid certificate column. Please find below further information on each of these.

  1. No gas supply at property: This is relevant for Landlord Gas Safety certificates only and indicates that the gas supply field within the property record has been set to No. As there is no gas supply, this certificate is not required.

  2. Property preference set to No - No certificate: Within the Preferences tab of the property record, it has been set that that agent does not need to process the renewal of this certificate type for this property. There is also no previous record of this certificate on the system for this property.

  3. Property preference set to No - Certificate expired: Within the Preferences tab of the property record, it has been set that the agent does not need to process the renewal of this certificate type for this property. The current certificate on the system for this property is expired.

  4. Not applicable: Preference for the agent to renew this certificate is set to 'Not applicable' within the property record. This indicates that this certificate type is not relevant to the property.

  5. No valid certificate: Indicates that there is currently no in-date certificate for this property. The expiry date column can then be used to provide further context:

    1. No expiry date: No record of this certificate type is on the system for this property. Details of the current certificate will need to be added. For more information on adding a first certificate, please click here.

    2. Expiry date showing: Current certificate has expired and it needs to be renewed. For further guidance on renewing a certificate, please click here.

3. Updating certificate preferences

For a certificate to list as property preference set to No, No gas supply at property or Not applicable, the property record needs to be updated. Please find below guidance on how to do so.

  1. Go to Lettings properties > View properties

  2. Locate the property in question

  3. For No gas supply at property - Open the Details tab and set the Gas supply field to No

  4. For Property preference set to No - Open the Preferences tab, locate the relevant certificate type and set to No

  5. For Not applicable - Open the Preferences tab, locate the relevant certificate type and set to Not applicable

  6. Click Update property

4. Exporting the audit page

To export the Safety certificate audit page, click on the Export button located to the right of the Search field. The data table will then be downloaded to your computer as an Excel spreadsheet.
