Safety certificates - Instructing a first certificate (where a property has yet to be assessed for a specific certificate)

Updated over 5 months ago

If a property is yet to be assessed for a specific certificate type, users can instruct the first certificate through the Safety certificates and compliance page.

1. Instructing a first certificate

  1. Go to Lettings properties > Safety certificates and compliance

  2. Click + Certificate

  3. Select the required property address and certificate type

  4. Tick the Certificate has not yet been instructed checkbox

  5. Select the relevant contractor

  6. Click Submit

Once submitted, this certificate will list on the Safety certificates and compliance page with no dates (shown below).

To instruct the first certificate assessment:

  1. Within the Email column, expand the dropdown and select the relevant Instruct work email option - a pre-populated email to the contractor will appear.

  2. Once reviewed, click on Send email.

2. Adding first certificate details

Once the certificate has been received from the contractor, these details can then be added to the system.

  1. Go to Lettings properties > Safety certificates and compliance

  2. Locate the relevant certificate log. Note, as shown above, this log will show with no certificate date or expiry date

  3. Click on the edit pencil icon

  4. Set the Certificate date and Expiry date

  5. Click Update

As the expiry date for this certificate will be in the future, it will no longer be listed on the safety certificates page as it defaults to list certificates that are due to expire in less than 4 weeks or those already expired.
