Appraisals - Adding a new seller enquiry and setting the initial meeting date

Sales enquiries are managed through the View appraisals page within the Sales properties menu. This functionality enables tracking prospective sellers, scheduling appointments, and maintaining a record of all follow-up activity.

1. Adding a new sales enquiry

  1. Go to Sales properties > View appraisals

  2. Select + Enquiry

  3. In the New Sales Enquiry pop-up, users can add details of the lead owner and any joint owners

  4. If the individual exists on the system as an owner/landlord, select their name from the Add from existing owners dropdown. If not, manually fill out their details in the fields provided

  5. To add additional joint owners, select the + button

  6. Once the details for each owner have been entered, select Submit enquiry and add property

  7. A blank property record will open for all relevant property information to be input

  8. Select Update property

Note: The information in the property record is used to work accurately with other aspects of the system, therefore, we recommend that users populate the record with as much information as possible.

Note: If the owner has more than one property they want to appraise, repeat the above process for each property. When adding subsequent appraisals for the owner, users can select the owner's name from the Add from existing owners dropdown menu when adding the enquiry.

2. Setting the initial meeting

  1. Go to Sales properties > View appraisals

  2. In the Initial meeting column, select the calendar icon

  3. Select the required date and time

  4. If the appointment is to be added to your or a colleague's calendar, select Add event to calendar and select the appropriate calendar name

  5. Select Submit

3. Scheduling a follow-up

  1. Go to Sales properties > View appraisals

  2. In the Chase Date column, select the Calendar icon

  3. Select the required date and time

  4. If the appointment is to be added to your or a colleague's calendar, select Add event to calendar and select the appropriate calendar name

  5. Select Submit

4. After the follow-up

  1. Go to Sales properties > View appraisals

  2. In the Add follow-up column, select the plus icon

  3. Add the information regarding the contact with the seller, such as correspondence type, date, time and notes from the conversation

  4. Select Submit

This information can be viewed by clicking the arrow on the far left of the appraisal record to expand the accordion menu. The last contact date in the far-right column will update to reflect the latest note and is also displayed on the View available properties page.
