Potential landlords - Adding and managing landlord enquiries

SME Professional has a page dedicated to storing and managing the details of any landlord enquiries allowing users to track potential new business opportunities easily and efficiently.

1. Adding a new enquiry

  1. Go to Correspondence > Potential landlord enquiry

  2. Click on + Enquiry

  3. Within the General tab, enter details of the potential landlord including their name and contact information. Users also have the option to set a Chase date and two Follow up dates

  4. Within the Property 1-3 tabs, enter details of the properties this potential landlord is looking to let

  5. Click Submit

Once submitted, a new open enquiry log will be created.

2. Setting the initial meeting

To set the date and time of the initial meeting with the potential landlord:

  1. Go to Correspondence > Potential landlord enquiry

  2. Within the Initial meeting column, click on the calendar icon

  3. Enter the meeting date and start/end time

  4. If this appointment is to be added to an employee's calendar, select the relevant calendar name from the dropdown

  5. Click Submit

3. Tracking by chase date

At the point of adding a new enquiry, users have the option to set a 'Chase date', a date in which they are to next reach out to the potential landlord.

There are two options available for tracking enquiries by chase date, the first is by sorting by the Chase column and the second is using the dedicated Chase date today/past page.

3.1 Sorting the Chase column

  1. Go to Correspondence > Potential landlord enquiry

  2. Locate the Chase column and click on the column header

  3. Enquiries with a chase date in the past will be brought to the top of the table, followed by those with upcoming chase dates

3.2 Chase date today/past

  1. Go to Correspondence > Potential landlord enquiry

  2. Click on Chase date today/past

  3. Users will be directed to a new page that lists only enquiries with a chase date up to and including today's date

System pages can be exported in Excel format by clicking on the Export button.

4. Additional logs

4.1 Adding a log

Correspondence with a potential landlord and any other relevant information can be logged against the enquiry.

To add an enquiry log:

  1. Go to Correspondence > Potential landlord enquiry

  2. Within the Additional logs column, click on the + icon

  3. Set the Reported date

  4. Choose the relevant Response type

  5. Enter a Title and Description

  6. Click Submit

4.2 Viewing previously added logs

If there are notes logged against a potential landlord, this will be reflected on the system in two ways:

  1. An arrow icon () will show to the far left of the enquiry

  2. Within the Additional logs column, a number will be shown to indicate how many logs have been added against the enquiry

To view any previously added logs, click on the arrow icon. The enquiry will then expand to allow viewers to see information relating to each log.
