Appraisals - Updating appraisals and setting/tracking chase dates

1. Appraisals overview

In order for a property to show on the Sales properties > View appraisals page, it must be set to one of the following statuses:

  • Enquiry - Suspect

  • Enquiry - Prospect

  • Enquiry - Lead

  • Enquiry - Won

The appraisal process is divided into four stages: Initial, Appraisal, Valuation and Follow-up. The first three stages work based on a traffic light system. This allows users to see at a glance what stage an enquiry is at.

  • If a stage is set to Not started, it will be GREY

  • If a stage is set to In progress, it will be AMBER

  • If a stage is set to Complete, it will be GREEN

  • If a stage is set to On hold or Potential problems identified, it will be RED

  • If a stage is set to Not applicable, it will show as N/A

2. Updating an appraisal stage

  1. Go to Sales properties > View appraisals

  2. Within the relevant stage column, click on the square icon (highlighted above)

  3. A pop up will appear allowing users to add notes to each appraisal stage

  4. Populate the fields as required

  5. Update the Status of the stage

  6. Click Update

3. Setting and tracking chase dates

To set the next chase date for an appraisal:

  1. Go to Sales properties > View appraisals

  2. Locate the appraisal in question

  3. In the Next chase date column, click on the calendar icon

  4. Enter the Date and Time for the next chase

  5. To add this appointment to your or your colleague's calendar:

    1. Tick the Add event to calendar checkbox

    2. Expand the Calendar owner dropdown and select the relevant calendar name

  6. Click Submit

To track upcoming chase dates, click on the Next chase date column header to sort this column in chronological order - appraisals with no next chase date will appear at the top of the list, followed by those with upcoming chase dates.

4. Scheduling a follow-up

  1. Go to Sales properties > View appraisals

  2. Within the Chase Date column, click on the Calendar icon

  3. Select the required date and time

  4. If the appointment is to be added to your or a colleague's calendar, tick Add event to calendar and select the appropriate calendar name

  5. Click Submit

5. After the follow-up

  1. Go to Sales properties > View appraisals

  2. Within the Add follow-up column, click on the plus icon

  3. Add the information regarding the contact with the seller, such as correspondence type, date, time and notes from the conversation

  4. Click Submit

You can view this information by clicking the arrow on the far left of the appraisal record to expand the accordion menu. The last contact date in the far right column will update to reflect this latest note and is also displayed within the View available properties page.
