1. Adding a mileage log
Go to Admin > Mileage log
Click + Journey
Populate the forms with details of the journey, including the destination, the travel date and miles driven
Click Submit
2. Completing a journey
Once a driver has been paid for personal mileage or when the journey has been authorised as a legitimate HMRC submission, the relevant mileage logs can be completed.
2.1 Completing a single journey
Go to Admin > Mileage log
Locate the journey in question
In the Complete column, click on the tick icon
The item will then be moved to the View complete items page.
2.2 Completing all open journeys for a single driver
All open journeys for a single driver can be completed in bulk saving users time from having to manually complete each item.
Go to Admin > Mileage log
In the Set all complete for this driver column, click on the tick icon against the relevant driver
All open items will be moved to the View complete items page.
3. Filtering data
3.1 By driver
Within both the open and completed Mileage logs page, a Filter by driver dropdown available (Shown below). This can be used to view all mileage logs for one specific driver.
3.2 By destination/vehicle
The Search field can be used to filter down the data to view journeys related to a specific destination or vehicle.
Note: Data can be exported as an Excel spreadsheet by clicking on the Export button located to the right-hand side of the Search field.
4. Viewing the total mileage
On the Admin > Mileage log page, the system automatically calculates and lists the total mileage of all open journeys for reference (shown below).
Similarly, the total mileage associated with all completed journeys will be shown on the Completed page.
Note: if the Filter by driver dropdown is used this figure will update to list the total mileage associated with the selected driver only.
