Maintenance - Adding, viewing and deleting maintenance notes

1. Adding a maintenance note

As progress on a maintenance job is made, this can be recorded in the notes section of the report. To do this, please follow the below steps:

  1. Go to Lettings properties > Maintenance

  2. Locate the maintenance report in question

  3. Click on the notes icon located to the right of the Latest note column (shown below)

  4. Click on + Maitenance note

  5. Select the relevant category

  6. Set who this note was reported by and to

  7. Set the reported date

  8. In the Additional note field, enter details of the note

  9. Click Submit

The newly added note will appear within the Additional notes in connection with... table located at the bottom of the maintenance notes page.

2. Viewing maintenance notes

  1. Go to Lettings properties > Maintenance

  2. Locate the maintenance report in question

  3. Under the maintenance notes icon, a number will be listed which indicates how many notes are logged against a specific maintenance report (shown below)

  4. The latest note column will indicate when the last maintenance note was logged against a report

  5. Hover over the clipboard icon to be presented with the latest maintenance notes

  6. To view all maintenance notes, click on the notes icon and then look at the Additional notes in connection with... table

3. Deleting maintenance notes

  1. Go to Lettings properties > Maintenance

  2. Locate the maintenance report in question

  3. Click on the notes icon located to the right of the Latest note column

  4. In the Additional notes in connection with... table, locate the note to be removed

  5. Click on the red cross within the Delete column

Note: This action is irreversible therefore we recommend users ensure the correct note is located before proceeding to delete.
