The Current and Past tenant ledger view is an optional feature that can be enabled on SME Professional. Current and past tenancies will be separated into two tabs on the tenant ledger (shown below).
For this to work efficiently, users must consistently complete the below processes. This will ensure the correct tenants are shown in the current and past tenancy tabs.
Create new tenancies (using our Create tenancy function)
End tenancies for vacating tenants (using our End tenancy function)
Note: Current and past tenants are determined based on their move-in and move-out dates.
1. Past tenancies
The Past tenancies tab shows any past tenants' arrears, rent invoices, and rent payments.
The final payment due for each past tenancy is highlighted in blue with a description of 'Last rent due in tenancy' (if the End tenancy process was completed), allowing users to see each past tenancy's start and end clearly.
2. Current tenancies
The Current tenancy tab shows the current tenants' arrears, rent invoices, and rent payments. Payments that have been offset to a future date are shown in blue at the top of the ledger.
In the example below, the tenants paid 6 months upfront, which was offset into 6 equal payments of £600. The ledger shows all transactions up until the current day below the 'End of ledger' line and any future-dated transactions above that.
Rent invoices are highlighted in grey and will show a date in the Due date column. Rent payments will be shown under the corresponding due date line, and the payment date shown in the Paid date column.
For current tenancies, users can also reassign rent payments to different rent periods. To do so, click on the edit pencil against the payment, select the relevant Rent period and click Submit.
Bank transactions can also be split from the Tenant ledger to be apportioned against different rent invoices. To do so, click on the edit pencil against the payment and select Split.
