Maintenance - FAQs

Please see the below guide for the most common maintenance queries.

1. How do I change the contractor for an active maintenance report?

  1. Go to Lettings properties > Maintenance

  2. Locate the maintenance item

  3. Select the pencil icon

  4. In the Contractor dropdown menu, select the required contractor

  5. Select Update to save the change of contractor

2. How do I locate historical/completed maintenance items?

  1. Go to Lettings properties > Maintenance

  2. Select from either Completed or Complete & awaiting invoice in the View filter to locate the maintenance item

3. Can reminder notifications be set?

  1. Go to Lettings properties > Maintenance

  2. Locate the maintenance item

  3. In the Due date or Chase date column, click on the calendar icon

  4. Set the required date and time

  5. To add this event to a calendar, tick Add event to calendar and select the relevant calendar name

  6. Click Submit

4. How do I request quotations from multiple contractors?

  1. Go to Lettings properties > Maintenance

  2. Locate the maintenance item

  3. In the Work order column, click on the + icon

  4. Ensure the correct contractor is assigned within the Contractor dropdown

  5. If required, edit the text in the Work description box, the text within this box can be used to request a quote from the contractor

  6. Click Create work order - two things will now happen.

    1. In a new browser window, the PDF work order will be generated.

    2. A pre-populated email to the contactor will pop up which contains a URL link to the work order document

  7. To generate the work order again for a different contractor, navigate to the Contractor dropdown within the maintenance report and select the contractor in question, repeat steps 3-6
