SME Professional offers an online maintenance reporting form for clients who have their company websites hosted by our website team. This form is accessible to tenants via your website and allows them to submit any issues they are having. This information will then be automatically fed into SME Professional which removes the requirement for users to manually enter this information.
1. How the form works
As mentioned above, the form will be accessed through your website and will ask the tenant for various details relating to the maintenance item including:
Maintenance title and description
Appliance type, make, model and serial number (if applicable)
Property address details
Contact details
Whether the tenant consents to have their details passed to a contractor
Whether the tenant consents to the property being accessed without them present
Upon submission, both the agent and the tenant will receive a confirmation email.
2. How the information is fed into the system
On the Lettings Properties > Maintenance page, the number of maintenance items submitted through your website form that are waiting to be assigned to a property is shown on the top right hand corner of the page (shown below).
To assign a maintenance issue to a property:
Click on Assign reports
Locate the item to be assigned
Expand the Select property dropdown and select the property the item is to be assigned to
Click Submit
A maintenance report for this item will have been created allowing users to proceed with instructing the work. For guidance on how to create a works order for a maintenance job, please click here.
