1. Sending the tenant application form
A tenant application can be sent out in two different ways, depending on whether or not the tenant already exists on the system. Please find below information on both options.
1.1 Sending an application to a new tenant
Go to Tenants > Add new tenant
Within the blank tenant record, enter the individual's name and contact email address
Click Submit
Select the address of the property the tenant is interested in and click Submit
A pre-populated email to the tenant will pop up which contains a link to their unique tenant application
Click on Send email
1.2 Sending an application to an existing tenant
If the tenant already exists on the system, users can send them a tenant application form by following the steps listed below:
Go to Tenants > View tenants
Locate the tenant in question
Within the Actions column, expand the dropdown and select Email tenant application
A pre-populated email to the tenant will pop up which contains a link to their unique tenant application
Click on Send email
2. What happens once the application has been submitted?
2.1 Confirmation email
Upon the submission of a tenant application, the branch will receive a confirmation email that contains a link, which when clicked, takes the user directly to the tenant's record.
If the supporting documents uploader option is enabled, and the tenant attaches files to their application, the branch will receive a separate email containing these documents. For further information on this document uploader, please contact [email protected].
2.2 Population of tenant record
When an application is submitted, the corresponding tenant record will be auto-populated with the information entered in the form. This saves the agent from having to manually enter all this information into the system.
2.3 Colour change of tenant application field
On the Tenants > View tenants page, there is a Tenant application column that can be used to see which tenants have submitted their application and what type of application they have completed.
When an application form is submitted, the box within the Tenant application column will turn green. Depending on the information entered, the application will either be tagged as Guarantor, Non-Guarantor payment or N/A - Professional for reference (shown below).
3. What happens next?
If the application is approved, the agent can then move on to referencing the tenant. SME Professional currently offers integrations with Hazelton Mountford and Let Alliance for tenant referencing. Both integration options allow users to start and track ongoing referencing applications directly on the system.

If the tenant passes their referencing checks and they have been approved to move into the property, users can then proceed with creating the tenancy documents.
