1. How to send a tenant application form?
There are two places in the system where a tenant application can be sent:
1.1 Adding new tenant record
When a new tenant record is added, the system will prompt the user to link this tenant to their property of interest. Once linked, a pre-populated email is generated to the tenant which contains a URL link to their tenant application.
1.2 View tenants
If the above email was closed in error or the user was not ready to send the application at that point, the tenant application form can be sent from the View tenants page.
Go to Tenants > View tenants
Within the Action column, expand the dropdown and select Email tenant application
A pre-populated email to the tenant will pop up which contains a URL link to their tenant application
2. Can the same application form be used by all the tenants in a tenancy?
Each tenant application form URL link is unique and is linked to an individual's tenant record, so one application form will need to be issued for each tenant.
Having a direct link between an application form and tenant records allows for the system to auto-populate the tenant's details upon submission of the form.
3. Tenant has submitted the form but it hasn't gone into our system?
When an application form is submitted a confirmation email will be sent to your system default email address. If you did not receive this email it is likely that the form was not submitted.
On the Tenants > View tenants page, there is a Tenant application column which contains a square icon. This column is colour coded (as detailed below) allowing users to see at a glance if an application has been submitted for a tenant.
Grey - Not submitted
Green - Submitted
4. Tenant has submitted the form but I didn't get an email.
An automatic email is sent when a new application is submitted and this is sent to your system default email address. We recommend that you check the junk/spam folder for this email account in case the email was inadvertently filtered there.
If the email is located in the junk/spam section, we recommend marking the sender as safe to prevent this from happening in the future.
5. The tenant has new information, can this be updated on the application form?
The link for an application form can only be used once. If a tenant has additional information to provide and they have already submitted the application form, we recommend that they provide this information in an email and the user can then manually update the tenant's record.
6. The tenant has advised that the form isn't submitting
There are several required fields in the application form. It may be that the tenant has not completed one of these fields. When the tenant tries to submit, the form will advise them if any fields still need to be populated.
7. The tenant wants to provide us with additional information, where can this be added?
At the bottom of the application form, there is a large text box which the tenant can use to provide other relevant information.
If they make use of this field, this information will pull through to the Additional information field within the Other details tab of the tenant record.
8. How can I see if a tenant has completed their application form in the system?
On the Tenants > View tenants page, there is a Tenant application column which contains a square icon. This column is colour coded (as detailed below) allowing users to see at a glance if an application has been submitted for a tenant.

Green - Submitted
9. Can the tenant upload their photo ID or any documents?
Yes, there is an upload option available at the bottom of the form for a tenant to provide any documents you require. Once submitted, these supporting documents will be sent to your system default email address along with the confirmation of submission email.
Note: These documents will not automatically upload to your SME Professional system.

10. What is the maximum file size for attachments to tenant application forms?
While there is no exact file size limit, attachments should ideally be under 5MB. If a tenant attempts to attach a file that is too large, an error message may be displayed.
