1. Chase date/Follow up
If the Chase date has been set against an enquiry, users may wish to sort the Chase column so they can view enquiries that need to be contacted.
Go to Correspondence > Potential tenant
Locate the Chase column (located third in from the left)
Click on the column header
This will sort the column chronologically and bring to the top enquiries with chase dates in the past followed by those in the near future
Users can easily contact a potential tenant by either clicking on their email address or phone number (this will bring up a blank email or SMS template) or by expanding the Actions dropdown and selecting one of the default email options (for example, Send follow-up email).
2. Enquiry logs
This notes section can be used to log any contact made with the potential tenant as well as their responses. This allows users to keep track of all communications and refer back to it later if required.
2.1 Adding a log
Go to Correspondence > Potential tenant
Locate the enquiry in question
Within the Logs column, click on the + icon
Set the Reported date
Select the address of the property this correspondence relates to
Choose the relevant Response type
Enter a Title and Description
Click Submit
2.2 Viewing logs
If there are notes logged against a potential tenant, this will be reflected in the system in two ways:
Within the Logs column, a number will show indicating how many logs have been added
On the left side of the enquiry, an arrow icon (
) will be showing
To view previously added notes:
Go to Correspondence > Potential tenant
Locate the enquiry in question
Click on the arrow icon
The enquiry will expand to show information of each log added
If required, previously added logs can be edited by following the above steps and then clicking on the edit pencil icon against the required log.
3. Completing an enquiry (for business not won)
If a potential tenant no longer requires your services, their record can be completed on SME Professional. This ensures that the main Potential tenant enquiry page lists only open enquiries.
Go to Correspondence > Potential tenant
Locate the enquiry in question
Within the Complete column, click on the tick icon
Once completed, this potential tenants record will be moved to the Closed enquires section.
4. Convert a potential enquiry to an active tenant record
Potential tenant records can be easily converted into an active tenant record which takes away the need for the user to manually add their details for a second time.
