Grouped Properties - Creating and viewing Statement groups

When an owner has multiple properties, these can be linked together to create a Statement group. This means that, for each payment run that includes these properties, a single combined rent statement and a single combined payment will be generated for all properties in this statement group.

All properties linked in a single group must have the same owner(s) and ownership split.

The user selects a central record (lead property) to begin the group. This record can be any property in the portfolio. The rest of the properties must then be all linked to this lead property.

As the owner will receive one combined statement and payment for the whole statement group, we recommend that Statement groups are set up where the owner is paid on the same date in the month for all properties linked.

Note: The Statement group linking process cannot be undone once financial transactions are recorded on the system. Separating a portfolio instead involves the user copying and creating new records for each property, with new ledgers.

1. Creating a Statement group link

1.1 Before proceeding

  1. The properties being linked together must have £0 landlord balances. The exception to this is if no payment run has previously been carried out against any of these properties.

  2. All properties in the statement group must be linked to the owner correctly before the group is created.

1.2 Creating the link

  1. Navigate to Lettings properties > Manage grouped properties >Statement groups.

  2. Click +New Group at the top left of the page.

  3. Select the property which will be the lead property within the dropdown.

  4. Select all other properties to be added to the group

  5. Once all properties have been added, click Add new group.

From this page, you can view all previously created Statement groups. You can also edit the lead property and add additional properties to your groups by clicking the edit pencil.
