SME Professional has a dedicated key log page that allows users to track key movements against their properties.
1. Logging out keys
From the top bar, click on Key log (shown below):
Click on + Key movement
Select the relevant property address
If applicable, select the Set number that is being logged out
The date/time fields default to the current date and time but this can be manually updated if required
If known, set the expected return date of the keys
Select the user who handed out the keys
Select the custodian type for the individual who the keys were logged out to
Select the name of the person the keys are being logged out to (shown below):
If required, enter any Additional comments
Click Submit
A new key movement will now be listed on the Key log page.
2. Tracking the return of keys
If set, the expected return date for keys will show under the Expected return date column on the Key log page allowing users to track what keys are overdue.
Users can chase the individual the keys are logged out to by clicking on the envelope icon within the Logged out to column. A pre-populated email to the individual will appear asking them to return the keys at their earliest convenience.
Users can also send a text message to this individual by clicking on the number under the Mobile column. A blank SMS text message will appear where users can manually type in their message requesting the return of the keys.
3. Returning a set of keys
On the Key log page, locate the key movement in question
In the Returned column, click on the tick icon
A dialogue box will appear asking the user to confirm their action - click on Yes to confirm or No to cancel the action
If Yes was selected, the key movement will be moved to the View keys returned page and it will no longer appear as open.
