Exports - Creating system exports

In SME Professional, system data can be exported in two ways. Details on each option are below:

1. Exports page

Our Exports page contains a list of pre-set exports that cover aspects of both the general and financial systems.

  1. Go to Admin > Exports

  2. Locate and click on the name of the relevant export

  3. The export will be downloaded to your computer in the form of an Excel spreadsheet

What each export contains:

Properties

List of all lettings properties

Current tenants by property

List of all tenants with a 'current' status

Status changes

List of all status changes made to lettings and sales properties

New properties added per month

Number of all lettings properties added by month

Maintenance notes

Details of all maintenance notes recorded

Maintenance reports

Lists maintenance reports over a select period

Correspondence actions

List of actions taken against correspondence items

Utilities exports (Spark, Glide, Ittria and Tenant Shop)

List of all required utility information for the selected utility changeover company

Insurance

List of insurance details recorded against current lettings properties

Bulk safety certificates for renewals

Lists all safety certificates up to and including the specified expiry date

All tenants

List of all tenants

Tenants - details for mailing systems

List of preferred email addresses for all tenants

Owners of current properties

List of all owners of current lettings properties

Current owners (landlords) - details for mailing systems

List of preferred email addresses for all landlords, including the Marketing consent, Management type and Owner Status set against each owner

All contractors

List of all contractors

All potential tenants

2. Individual pages

In addition to the pre-set exports, the data on most system pages can also be exported. To do so, click on either the Export or Copy button (located to the right of the search field).

The Export button will download the data into a CSV file (Excel spreadsheet) whereas the Copy button takes a copy of the data, allowing it to be pasted where required.

Note: To create a bespoke export that includes data from multiple exports, a VLOOKUP can be performed on Excel.
