Properties - Using secondary statuses

The primary property status field within the lettings property record is non-customisable, so our secondary status functionality gives users the ability to add further detail against a property regarding what stage the property is at within the lettings process.

Users can personalise the list of secondary status options available on their system, and this status will be displayed on the main View properties and on some system exports.

For example, should a landlord wish to take back their property from the management of the agent, the primary status of the property can remain as 'Occupied' (if tenants are still in situ), and the secondary status can be set as 'Pending withdrawal' until such time the landlord has fully withdrawn their property. Please find below an example of how the fields may look once populated.

1. Setting up

Note: Only an authorised superuser can set up and manage the secondary statuses on the system

1.1 Adding new secondary statuses

  1. Go to Admin > View all employees

  2. Click on Admin page

  3. Click on General

  4. In the menu on the left-hand side of the page, click on Secondary status (lettings)

  5. Click on +Status

  6. In the pop-up, enter the status name

  7. Click Submit

Once submitted, the secondary status will appear in the table and will be available to select in the Secondary status dropdown of the property record.

1.2 Updating/deleting secondary statuses

  1. Go to Admin > View all employees

  2. Click on Admin page

  3. Click on General

  4. In the menu on the left-hand side of the page, click on Secondary status (lettings)

  5. Locate the relevant secondary status from the table

    1. To update the secondary status name, click on the pencil icon in the Actions column

    2. To delete the secondary status, click on the red cross in the Actions column

Note: Updating an existing secondary status option will update all properties currently set with the status.

Deleting a secondary status will remove the status from all properties currently set with it. Deleting a secondary status cannot be undone.

1.3. Enabling secondary status on the View properties page

The Lettings properties > View properties page can be customised by adding or hiding columns, including a column to display the secondary status. To enable this column, follow the guidance here.

2. Selecting a secondary status

  1. Go to Lettings properties > View properties

  2. Locate the property in question

  3. Click on the property address

  4. In the Property address tab, locate the Secondary status field

  5. Amend the field as required

  6. Click Update property
