1. Adding an inspection report
Go to Lettings Properties > Inspections
Click on + Inspection report
Populate the form with details of the inspection
To set the next inspection date, users can either click on the calendar icon to manually choose the date or click on the default +90 days button to auto-populate the date
Users have three options for submission:
Submit - Adds the report log only
Submit and email landlord - Adds the report and also generates an email to send to the landlord
Submit and upload - Adds the report and automatically prompts the user to upload a copy of the report
Note: once the report has been added, this will update the Latest inspection date for the property.
2. Sending report details to the Landlord
To send an email to the landlord with details of the inspection, please follow the steps listed below:
Go to Lettings Properties > Inspections
Click on Inspection reports
Locate the required inspection
In the Email column, click on Send notice
A pre-populated email to the landlord will open. Please review this email before sending
3. Uploading images to the report
Go to Lettings Properties > Inspections
Click on Inspection reports
In the Images column, click on the upload icon
Click on + Photographs folder
Add a relevant Folder description (eg 'Inspection images 01/06/2025') and click Submit
Go to the User generated photograph folder in the uploaded files section to locate the newly added folder and click on the upload icon in the Upload documents column
Drag and drop the files into the window, or click on Add files and locate the required images
Click on Start upload
4. Uploading a copy of the report
Go to Lettings Properties > Inspections
Click on Inspection reports
Locate the required report
In the Reports column, click on the upload icon
Drag and drop the document into the window, or click on Add files and locate the required file
Click on Start upload
5. Adding notes to the inspection report
Users can add additional notes to an inspection report (for example, the landlord’s feedback on any issues reported)
Go to Lettings Properties > Inspections
Click on Inspection reports
Locate the required report
In the View additional notes column, click on the clipboard icon
Click on Add additional note
Enter details of the note
Click Submit
The View additional notes column on the Inspection reports page will update to show how many notes have been logged against a report (shown below).
6. Deleting an inspection report
If a report has been added in error, it can be deleted from the system. Note, this action is irreversible.
Go to Lettings Properties > Inspections
Click on Inspection reports
Locate the required report
In the Delete column, click on the red cross
A confirmation dialogue box will appear. Click on Yes to confirm the action or No to cancel
Once confirmed, the report will be deleted
