Inspections - Adding and updating an inspection report

1. Adding an inspection report

  1. Go to Lettings Properties > Inspections

  2. Click on + Inspection report

  3. Populate the form with details of the inspection

  4. To set the next inspection date, users can either click on the calendar icon to manually choose the date or click on the default +90 days button to auto-populate the date

  5. Users have three options for submission:

    1. Submit - Adds the report log only

    2. Submit and email landlord - Adds the report and also generates an email to send to the landlord

    3. Submit and upload - Adds the report and automatically prompts the user to upload a copy of the report

Note: once the report has been added, this will update the Latest inspection date for the property.

2. Sending report details to the Landlord

To send an email to the landlord with details of the inspection, please follow the steps listed below:

  1. Go to Lettings Properties > Inspections

  2. Click on Inspection reports

  3. Locate the required inspection

  4. In the Email column, click on Send notice

  5. A pre-populated email to the landlord will open. Please review this email before sending

3. Uploading images to the report

  1. Go to Lettings Properties > Inspections

  2. Click on Inspection reports

  3. In the Images column, click on the upload icon

  4. Click on + Photographs folder

  5. Add a relevant Folder description (eg 'Inspection images 01/06/2025') and click Submit

  6. Go to the User generated photograph folder in the uploaded files section to locate the newly added folder and click on the upload icon in the Upload documents column

  7. Drag and drop the files into the window, or click on Add files and locate the required images

  8. Click on Start upload

4. Uploading a copy of the report

  1. Go to Lettings Properties > Inspections

  2. Click on Inspection reports

  3. Locate the required report

  4. In the Reports column, click on the upload icon

  5. Drag and drop the document into the window, or click on Add files and locate the required file

  6. Click on Start upload

5. Adding notes to the inspection report

Users can add additional notes to an inspection report (for example, the landlord’s feedback on any issues reported)

  1. Go to Lettings Properties > Inspections

  2. Click on Inspection reports

  3. Locate the required report

  4. In the View additional notes column, click on the clipboard icon

  5. Click on Add additional note

  6. Enter details of the note

  7. Click Submit

The View additional notes column on the Inspection reports page will update to show how many notes have been logged against a report (shown below).

6. Deleting an inspection report

If a report has been added in error, it can be deleted from the system. Note, this action is irreversible.

  1. Go to Lettings Properties > Inspections

  2. Click on Inspection reports

  3. Locate the required report

  4. In the Delete column, click on the red cross

  5. A confirmation dialogue box will appear. Click on Yes to confirm the action or No to cancel

  6. Once confirmed, the report will be deleted
