Emails - Troubleshooting

Please see the below guidance if emails are failing to send from SME Professional:

1. Email content

The following information must be populated in order for an email to send:

  1. 'To' email address

  2. 'From' email address

  3. Subject line

  4. Body content

2. Sender email

If there is a trailing space located before or after the sender's email address, this can cause the email address to become invalid and therefore will stop emails from being sent out.

  1. Go to Admin > View all employees

  2. Locate the required employee record

  3. Click on the edit pencil icon

  4. Locate the Work Email (default send email) field

  5. If there are any trailing spaces in this field, please remove them

  6. Click Update Employee

3. SMTP details

For systems set up with internal emailing (where the email is sent from SME Professional rather than your email account), the SMTP details fields do not need to be populated. If they are, this can prevent emails from sending successfully.

  1. Go to Admin > View all employees

  2. Locate the required employee record

  3. Click on the edit pencil icon

  4. Locate the SMTP Username and SMTP Password fields

  5. If populated, please remove this information

  6. Click Update Employee.

4. Attachments

a. Size limit - The maximum combined size of email attachments is 25MB. If an email is sent with an attachment or multiple attachments that combined exceed this limit, the email will fail to send. To resolve this, the file size of the attachments can be compressed using a file compressor or the documents can also be compressed by adding these to a zipped folder.

b. File name character limit - If a file has been attached to an email and the file name exceeds the limit of 67 characters, the email will fail to send. Please reduce the characters within the file name to send the email.

5. Email domain

In order for emails to be sent successfully for systems set up with internal emailing (where the email is sent from SME Professional rather than your email account), these must be sent from an authorised email domain.

If emails are failing to send after following the above steps or if there has been a change to a company's email domain, please contact [email protected] including details of the email pop-up and any error messages.
